Oxted & District

Branch and Club AGMs

The  Annual General Meetings of The Oxted & District  Branch & Club Royal British Legion

are held at, The RBL Clubhouse, 42 Church Lane, Oxted, Surrey, RH8 9LB

Dates as per What's on Diary in November.

Attendance.

It is really important that you, the members, attend the AGMs.  There are vacant positions or positions up for re-election on both the Branch and Club Committees.  This is your chance to get involved and have a say in how things run, what happens or what events & activities we hold.

Both AGMs will take place in November.  Doors open at 10.30, where free tea/coffee/cake will be available.  The meetings will start at noon, so you can have a drink from the bar at the same time.  The Branch AGM will be first, followed by the Club AGM.

For the Branch, full details of the committee structure, content of the AGM and the election process are in the Branch Bye-Laws.

For the Club, the structure of the Committee is: President, Chairman, vice-Chairman, Treasurer plus six Committee Members.  Additionally, the new Committee appoints the Club Secretary.

In summary for both Committees, if you want to volunteer for a position, you will need a Proposer and a Seconder (and all three people need to be current members of the Branch or Club respectively) and you must submit your nomination (with proposer and seconder details) as follows:

  • Branch – to the Secretary at least 10 days before the AGM, which can be by email or post (at the Club address at the bottom of this newsletter).  Should you wish, you can write a short pitch to the members on why they should vote for you.
  • Club – come into the Club and write your name, along with both your Proposer’s and Seconder’s names, on the nomination sheet (which will be on an easel in the back bar by the 1st Sunday of November) by close of play on the 3rd Friday of November.  If there is more than one volunteer for a post, all candidates will be permitted to make a short verbal pitch to the members at the AGM itself.

Then:

  • For Branch, 7 days before the AGMs, all Members will receive the master nomination list of all those standing for all the positions, along with any of the ‘short pitches’ that those standing have written.
  • For Club, the full nomination sheet will be available on the day of the AGM itself.

Finally, at the AGM, voting will take place to select the next incumbent of the post being contested.

  • For Branch, you can vote in person on the day or by email or by post to the Secretary (email addresses in the box above or by post at the Club postal address at the end of this newsletter).
  • For Club, only voting on the day is permitted.

For both Branch and Club: should any position be unopposed then the person volunteering will be elected automatically and if there are more volunteers standing than there are Committee Posts available then those persons with the highest number of votes will be elected.

Questions

If you would like to ask a question of either Committee, then:

  • For Branch, please send it to the Secretary [email protected]  7 days before the AGM.
  • For Club, Please submit your questions by the 3rd Friday of November, by email to the Secretary at [email protected] or in writing to the Club address. (marked for the attention of the Club Secretary).

Exceptionally, for both Committees, questions will be accepted on the day of the AGM itself.
